Description

The Administrative Assistant to the Superintendent provides high-level, confidential administrative support to the Superintendent and serves as a key liaison between the Superintendent’s Office, Board of Education, district staff, and the community. This position requires exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.  This position is a 12-month position, is Civil Service Exempt Class and reports directly to the Superintendent of Schools.  

Executive Support:

  • Manage and maintain the Superintendent’s calendar, including scheduling meetings, appointments, and events.

  • Coordinate and prepare materials for meetings, including agendas, reports, and presentations.

  • Screen and prioritize incoming communications (phone calls, emails, correspondence).

  • Draft correspondence, memos, reports, and other documents on behalf of the Superintendent.

  • Ensure timely follow-up on action items and requests. 

  • Performs other duties as assigned by Superintendent of Schools

Board of Education Support:

  • Serve as the Board Clerk.

  • Assist in preparation and distribution of Board of Education meeting agendas and supporting documents.

  • Record, transcribe, and maintain official Board meeting minutes.

  • Coordinate logistics for Board meetings, workshops, Board member trainings, and special sessions.

  • Maintain official records in compliance with district policy and state regulations, including NYS Open Meeting Law and public notice requirements.
     

Confidentiality and Communication:

 

  • Maintain highly confidential records involving personnel, labor relations, student matters, and litigation.

  • Serve as a liaison between the Superintendent’s Office and internal/external stakeholders.

  • Provide information and assistance to staff, parents, community members, and agencies.

  • Handle sensitive situations with diplomacy and discretion.  

  • Represent the Superintendent’s Office in a professional and courteous manner.  

 

Office Management:

 

  • Maintain organized filing systems (digital and physical) for records and documents.

  • Monitor office operations to ensure efficiency and professionalism.

  • Coordinate travel arrangements, conference registrations, and related logistics.

  • Order and manage office supplies for the Superintendent’s Office.

  • Prepare documents related to tenure, appointments, resignations, retirements, and disciplinary matters.  

  • Coordinate responses to Freedom of Information Law (FOIL) requests as directed.

 

Project and Event Coordination:

 

  • Assist in planning district events, meetings, and initiatives led by the Superintendent.

  • Support communications such as newsletters, announcements, and public information releases.

  • Track deadlines and ensure completion of assigned projects.

 

Preferred Qualifications:

  1. Associate’s, Bachelor’s, or Master’s degree preferred.

  2. Minimum of 3-5 years of administrative support experience, preferably in educational or public sector settings.

  3. Exceptional organizational and time management skills.

  4. Strong written and verbal communication skills.

  5. High level of professionalism and interpersonal skills.

  6. Ability to maintain strict confidentiality.

  7. Proficiency in Microsoft Office Suite and Good workspace.

  8. Ability to multitask, prioritize, and meet deadlines.

  9. Familiarity with Board of Education processes and school district operations preferred.

  10. Ability to perform occasional evening work required for Board of Education meetings and district events.
